Data Quality & Assistance Program 

The Data Quality and Assistance Program is administered by the Office of Court Administration (OCA) and partners with judges, district and county court clerks’ offices, justice courts, and municipal courts across Texas. The program was established to ensure accurate, consistent, and reliable court case data, supporting the statewide implementation and maintenance of detailed case-level reporting. The program houses 11 positions – Regional Data Coordinators (RDC) each assigned to one of the 11 Administrative Judicial Regions to assist and work with the counties in that area.

This initiative is a continuing effort to promote high-quality data reporting, effective use of case management systems, and improved administration of justice statewide.

Services We Provide

Data Quality Reviews

OCA conducts both scheduled and as-needed reviews of court data to identify inconsistencies, improve data entry practices, and support the transition to case-level reporting. Reviews may be initiated periodically, when a new clerk takes office, or when a court adopts a new case management system. These reviews are collaborative in nature, focused on guidance and support.

Technical Assistance and Training

Our team works directly with clerks, courts, and case management system vendors to address challenges in data collection and reporting. We provide:

  • Targeted technical assistance to resolve data quality issues
  • Training for clerks and court staff on best practices in data entry and reporting
  • Recommendations for system improvements to enhance accuracy and functionality

Confidentiality and Compliance

Data reviewed through this program remains confidential. OCA provides tailored recommendations and resources to clerks and courts to strengthen long-term data integrity while safeguarding sensitive information.

Requesting Assistance

The first step in requesting assistance is to complete the following Court Data Review Intake Form. Once completed, the form can be submitted by email.

Why This Program Matters

Accurate and consistent judicial data is essential to the effective administration of justice. The demand for detailed case-level data continues to grow, driven by the need for reliable information to inform policy decisions, legislative funding, and statewide reporting.
Historically, Texas’ 254 counties have faced challenges with varying data entry practices and limited resources for individualized guidance. By establishing a structured program for reviews, training, and regional support, OCA is working to:

  • Ensure uniform reporting practices across all counties
  • Reduce misinterpretation of data fields
  • Improve timeliness and completeness of reports
  • Maintain integrity of statewide judicial data


The Texas Judicial Council has recommended the creation of Regional Data Coordinator positions to further strengthen this program. These coordinators will provide localized support aligned with the Administrative Judicial Regions, bridging the gap between routine data checks and in-depth assessments needed to achieve statewide data quality goals.
